Managing Device PINs

ZixOne provides administrators with options for modifying how users utilize PIN codes within the app. These options include restricting the use of specific PIN codes, modifying the required length of PIN codes and modifying PIN authorization requirements.

Restricting Certain PIN Combinations

Administrators have the option to restrict certain number combinations for use as PIN codes with ZixOne. The default setting for this feature enables all number combinations for use as PIN codes, but administrators can change this in the Authentication Settings section under the Settings tab in the ZixOne Administrator Console.

To restrict the use of certain PIN codes with ZixOne:

1. Select Settings > Authentication Settings > Modify.
2. Select Prohibit these PIN Codes under the Prohibit Common PIN Codes section.
3. Enter the PIN codes in the text box, separating each code with a comma.
Note: The list of prohibited codes has a limit of 500 characters. Only numbers and commas can be used.
4. ZixOne saves your changes automatically. Invalid PIN codes display with red text.

To remove restrictions of PIN codes with ZixOne:

1. On the Settings screen, select Modify in the Authentication Settings area.
2. Select Do not prohibit common PIN Codes under the Prohibit Common PIN Codes section.
3. ZixOne saves your changes automatically.

Modifying PIN Code Length

Administrators can choose to set a required length for PIN codes that device owners use to enter the ZixOne application. The default length for PIN codes is four digits, but administrators can set the PIN code length between four and eight digits. ZixOne will invalidate any restricted PIN combinations that do not have the same amount of digits as the current PIN length setting, requiring all users to change their PIN codes during their next sign in.

To set the required length for PIN codes using ZixOne:

1. On the Settings screen, select Modify in the Authentication Settings area.
2. Under the PIN Length section, select the desired length of PIN codes using the drop down box.
3. ZixOne automatically saves changes every time a new PIN Length number is selected.

Modifying PIN Authorization Requirements

Administrators can choose to allow device owners to access ZixOne without re-entering their PIN. The default for this feature is to require PIN entry each time the user enters the ZixOne application, but this can be changed to allow for PIN-less re-entry within a specified amount of time. The time amount set by this feature applies to all ZixOne users.

To modify the length of time a user is allowed to re-enter the ZixOne application without entering their PIN:

1. On the Settings screen, select Modify in the Authentication Settings area.
2. Select either Require PIN for each access or Require PIN only after ## minutes of inactivity in the Pin Authorization section:
3. If you chose Require PIN only after ## minutes of inactivity, select an option from the drop-down box.
4. ZixOne saves your changes automatically. The new value selected above will take effect the next time the device user enters their PIN.

Resetting a Device PIN

Administrators can reset a ZixOne PIN for a mobile device. After the reset, the next attempt to open ZixOne on the affected mobile device results in a request for the mobile device owner's email password, and then an opportunity for the mobile device owner to enter and confirm a new PIN.

To reset a device PIN from the ZixOne Administration Console:

1. On the People screen, search for a person.
2. Select the account in the People list to display the Account Detail view.
3. Select Manage Access.
4. Select Reset for the device to reset.
5. ZixOne saves your changes automatically. Find the device on the People list and confirm that the Access column for the device displays as Reset.
