Reply to and Forward Messages

You can send a reply to the sender or to the sender and all recipients. You can also forward the message to an email address that is not in the original recipient list.

Sending a Reply

If you are online, you can reply to a message as soon as you have finished reading it, or you can keep it in your inbox until you are ready to reply at a later time. All replies are encrypted.

*To send a replay

  1. Display the message.  See Receive Messages for help.

  2. Click Reply or Reply to All.

  3. The message displays in Response mode. The To: and Cc: fields are filled out for you. If you clicked Reply, the default recipients are you and the sender. If you clicked Reply to All, the default recipients are you, the sender, and all other recipients.

  4. Select the recipients of the reply.

  5. If you clicked Reply, the default recipients are you and the sender.  If you clicked Reply to All, the default recipients are you, the sender, and all other recipients.

  6. You can attach files to your reply by clicking Add Attachments.  See Adding Attachments to a Message for help.

  7. Enter any response text in the white text area and then click Send.

  8. A status message is displayed.

  9. Click Return to Message to return to the message, if desired.  Otherwise, you can close your browser to close the message.

Forwarding a Message

Note: The ZixDirect Forward feature is only available in Version 3.1 of ZixVPM.

You can forward a message to email addresses that are not on the original recipient list. If you are online, you can forward a message as soon as you have finished reading it, or you can keep it in your inbox until you are ready to forward it at a later time. All forwarded messages are encrypted.

*To forward a message

  1. Display the message. See Receive Messages for help.

  2. Click Forward.

  3. The message to be forwarded displays.

  4. In the To: box, enter the recipients of the message.

    You can attach files to your message by clicking Add Attachments. See Adding Attachments to a Message for help.

    The original sender’s email address is automatically placed in the Cc: box, but can be removed. This is so a copy of this email message is sent to your email client for archiving purposes.

  5. Click Send when your message is complete.

    A message displays confirming the message was forwarded.

  6. From the confirmation page, click Return to Message to return to the message or close your browser to exit the message.

Attaching Files to Messages

ZixDirect allows you to attach files to a message you are sending.When sending a ZixDirect Reply, Reply All, or Forward, the total of all attachments may not exceed 20 MB, and individual attachment files should not exceed 15 MB.

Large messages take longer to upload, so you might consider limiting your attachment size.

*To add an attachment to a message

  1. In the Reply, Reply All or Forward mode, click Add Attachment.

  2. The Attach Files page displays.

  3. Select the file you want to send and click Open.

  4. The file name appears in the Attachments box at the bottom of the message.

  5. Repeat steps 1 and 2 until all files are attached.

Removing Attachments from a Message

*To remove an attachment

  1. Select the files you want to remove by clicking in the boxes next to the file names.

  2. Click Remove Selected.
