Defining Glossary Terms

Use the Define a New Glossary Entry sub-dialog to name and define or edit a glossary’s terms. A term is an expression, a lexicon, or an existing entry,

Expression

An Expression is a character string, typically text, which you are looking for. You can further refine the Expression by indicating where in the location or scope of the search to look for the text. You can also search on Expression variants (word stems) and misspellings (fuzzy match).

Note: Expressions (including Location and Options settings) are NOT case sensitive.

You can also define a group of email addresses as an expression.  The email addresses will be compared to the From address when the Glossary entry is used in the Subject field.  See Configuring eGroups for an explanation of how to use eGroups.

To define an expression as a Glossary term

  1. Select Expression in the Add a term row.
  2. Enter the text to search for in the Expression field. You may use the same text as the Entry Label field, but the two fields are not the same.
  3. Note: Do not use quotation marks in the expression unless you want the quotation marks to be a part of the search pattern.

    ZixCorp requires that you do not use special characters in this field as a number of them are reserved for special functions. 

  4. Specify where to search for this expression by checking options in the Location area.
  5. If no location options are selected, then the ZixGateway appliance searches for the expression anywhere in the search scope.

  6. Specify expression-matching options in the Options area. If no options are chosen, then the ZixGateway appliance seeks to match the expression exactly as given.
    1. Select Match Variants to allow stemming searches.
    2. ZixGateway matches plural variants of nouns and past and infinitive variants of verbs. For example, the expression “doctor” will match “doctor” or “doctors,” and “test” will match “test,” “tested,” or “testing.”

    3. Select Match Misspelled and then select the tolerance Level using the drop-down list.
    4. Match Misspelled at level “x” –also known as “fuzzy searches.” Levels 1 to 10 indicate the level of fuzziness. Fuzziness corresponds to both the number of differences in spelling and where the differences occur in the word. A higher Level number allows a greater number of acceptable errors.

  7. Click Add.

The term list displays Expressions underlined. The text of the expression is repeated in the Options and Location column, together with any selected Options and Locations.

Lexicon

A lexicon file is an XML file containing lists of expressions grouped into classifications. If any term in the lexicon file matches text in a message, then the lexicon term matches the message.

A standard set of lexicon files is provided with ZixGateway that can not be modified. This feature is useful if ZixCorp issues updates to the standard lexicons. Specialized lexicons can be developed with the assistance of ZixCorp Professional Services.

To define a lexicon as a Glossary term

  1. Select Lexicon in the Add a term row.
  2. Click Browse to find the lexicon file that you want to use.
  3. You must use Browse. You can not type the file location.

  4. Click Add.

Existing Entry

To define an existing Glossary entry as a Glossary term

  1. Select Existing Entry in the Add a term row.
  2. Select an existing Glossary entry from the Existing Entry list.
  3. The list shows all currently defined glossary entries.

    This ability is very useful for creating complex glossary entries. For example, you might extend an existing glossary entry by adding one or more terms using AND, OR, or NOT.

  4. Click Add.
